The team was following up. Five touches in two weeks. Calls, emails, a text. The lead went cold anyway.
The owner called it a bad lead. The sales manager called it bad timing. Neither of them looked at what the follow-up actually said.
When we did, the problem was obvious. Each message was about the business. None of it was about the buyer.

Activity Isn't The Same as Attention.
Most operators measure follow-up by volume. How many touches. How many calls. How many emails sent. Volume feels like effort. It isn't the same as relevance.
A follow-up that doesn't speak to where the buyer is right now doesn't move them forward. It reminds them you don't know them. Five generic touches tell the buyer the same thing five times and that you're running a script, not a conversation.
The lead didn't go cold. It got pushed away. Slowly. One message at a time.
The wrong follow-up is worse than no follow-up. At least silence doesn't tell the buyer you weren't paying attention.
1. Read your last five follow-up messages out loud. Count how many times you mention your business versus the buyer's position. If the ratio is off, the message is off. A follow-up that leads with what you offer instead of what they need is a follow-up that gets ignored.
2. Match the message to the signal, not the schedule. A buyer who visited the pricing page gets a different message than one who downloaded a resource. A buyer you opened your list email twice gets a different message than one who never opened it. The signal tells you where they are. The message should meet them there.
3. Give them a reason to respond, not a reason to wait. Most follow-ups end with "let me know if you have questions." That's not a next step- it's an exit ramp. End every message with one specific question or one clear action. Make it easy to say yes to the next small thing.
